This notice explains how VK Therapy collects, uses and protects your personal information when you visit vktherapy.com, contact us or use our services. We take your privacy seriously, especially because counselling involves sensitive information.

Who we are

VK Therapy is the counselling, life coaching and mindfulness practice of Varada, a Counselling Psychologist and member of the British Psychological Society (BPS). The practice is based in Palakkad, Kerala, India, and offers sessions online and in person in Palakkad. For any privacy question, email varada@vktherapy.com.

As the practice is based in India, we follow India’s Digital Personal Data Protection Act 2023 and the rules made under it.

What we collect

  • When you book or enquire: your name, phone number, email address, the service you’re interested in, your preferred date and anything you choose to write in your message.
  • If you become a client: contact details, appointment records, payment records and brief session notes. Session notes may include information about your health and wellbeing, which is treated as sensitive data.
  • When you visit the website: basic technical information such as your browser type and pages visited, collected by our hosting provider for security and performance. We do not use advertising or tracking cookies.

Why we use it

  • To reply to your enquiry and arrange appointments
  • To provide counselling, coaching or mindfulness sessions safely and effectively
  • To keep accurate records, as professional good practice and the law require
  • To keep the website secure and working properly

We rely on your consent (for example, when you submit the booking form), on the need to provide the service you ask for, and on our legal and professional obligations. For sensitive health information, we rely on your explicit consent and on the provision of health and social care.

Confidentiality

What you share in sessions is confidential. There are limited exceptions, which we explain at your first session: for example, if there is a serious risk of harm to you or someone else, or if the law requires us to share information.

Who we share it with

We never sell your information. We only share it with trusted services that help us run the practice, such as our website host (Bluehost) and email provider (Google Workspace), and only as needed. These providers may store data on servers outside India, including in the USA, under their own security and data protection commitments. We may also share information if the law requires it or to protect someone from serious harm.

How long we keep it

Enquiries that don’t lead to sessions are deleted within 6 months. Client records are kept for 7 years after our work ends, in line with professional guidance, and then securely deleted.

How we protect it

We use secure, password-protected systems and limit access to your information to the practitioner. The website uses an encrypted (HTTPS) connection.

Your rights

You can ask to see the information we hold about you, correct or update it, delete it, or withdraw your consent at any time. Withdrawing consent is as easy as giving it: just email us. You can also nominate someone to exercise these rights on your behalf if you die or become unable to do so. Email varada@vktherapy.com and we’ll respond within one month.

If you’re unhappy with how we handle your information, please contact us first. If we can’t resolve it, you can complain to the Data Protection Board of India.
